The situation
In the midst of the Corona pandemic, the Karlsruhe Health Department is responsible for the smooth tracking of Covid 19 patient contacts. As numbers and requirements change rapidly, staff planning is particularly challenging. The office thus faced the following challenges: rising or falling Covid-19 infection numbers made for a volatile workload and the manual processing of contact tracing required immense effort.
The challenges
The district administration relied on Excel spreadsheets for shift planning. This had the decisive disadvantage that shift changes could only be communicated to the teams with difficulty. In case of short-term absences (such as due to quarantine measures or illness) and shift changes, many phone calls to staff members were necessary - valuable time that was missing for the actual work of contact tracking. In addition, the planners could not be sure that all staff members were aware of the changes on the printed schedules. What was needed, therefore, was a solution that would not only allow the health department to plan shifts quickly, but also make the corresponding communication around the schedules easy.
The solution
In early 2021, shyftplan implemented rapid, digital shift scheduling at the health department to respond to rising infection rates. The software allows the office to focus on contact tracing and coordination of quarantine measures. Staff members were involved in the planning process to promote their empowerment.
